Understanding and Setting up Product Bundles

Simplify complex billing procedures with groundbreaking product bundles. Bundles can be set up with standard products, medications, diagnostic products, and even a bundle within a bundle.

What are Product Bundles?

Product Bundles are pre-set groups of standard products, medications, and/or diagnostic products that can easily be added to billing triggers through appointment or clinical records to which help improve staff efficiency and practice revenue by ensuring no products are left behind.

Helpful Hint: Whilst there are huge benefits to adopting product bundles, it's not essential to continue using Version 30, as you and your team can continue to operate ezyVet without Product Bundles. There are also alternative solutions such as electronic whiteboarding, such as Vet Radar, which can achieve the similar results

Fixed Price Bundles vs Variable Bundles

Why would you want a Fixed Price Bundle?

Fixed Price bundles allow you to set a fixed price rather than a cumulative price based on what products were used. Fixed Price Bundles are ideal for commonly used procedures where you provide an upfront cost to the customer and the requirements are unlikely to change after the quote has been provided, such as a spay/neuter, cruciate or TPLO.

Why would you want a Variable Price Bundle?

Variable Priced Bundles are ideal for complex surgeries where you want the price to increase or decrease, based on the quantities of products used, such as a colic treatment for equine, snake bites/toxicity or poisoning.

How to set up a Bundle:

  1. Go to Admin > Products (you will land on an empty product template that is ready to be filled in)
  2. Give your Product Bundle a Product Code, Product/Bundle Name, and Primary Group, as you would any new product
  3. On the right side, under Properties, change the Bundle from No to Bundle
  4. Select whether you want a Fixed or Variable Bundle by checking Yes or No
    1. Note: If you have selected Yes for a Fixed Price Bundle, notice that a Price field appear next to the department under Pricing, enter your fixed price
    2. Note: Fixed Price Bundles include tax, please factor this into your bundle price.
  5. Once the new product has been saved, you will see new tabs appear at the top of the page.
  6. Select on the Bundle Items tab, this is where we will add products into this bundle.
    1. Note: You are only able to add new products from your existing product list
    2. Note: Parent bundles cannot have child bundles that also contain 'grandchild' bundles. An error will show if you attempt to add a parent bundle containing child bundles into a new bundle.
  7. Start to add your bundle items by selecting the red + symbol next to Bundle Items, a window will pop up where you can select your bundle products from the list of existing products
    1. Set your default quantity (Default Qty) - this represents the default amount to show when a user is billing the bundle
    2. Set your minimum quantity (Minimum Qty) - your team cannot adjust the quantity below the quantity set when the bundle is being billed
    3. Fixed Qty - your team cannot adjust the quantity of the product when the bundle is being billed
    4. Multiply - if the bundle items quantity is changed the quantity of the product will be multiplied
    5. Multiple selectable items - this setting will appear if the product you add is a bundle, you will be able to select if your team can only use one product (single option) or if they can use multiple products (multi-option) when the bundle is being billed
    6. Printed invoice view - it's here you can set the default for whether the product shows just the bundle name, child lines only, or child lines with prices when printed. Your team can only change this view from an invoice if they have the permissions.
      1. Print top line price only - printed invoice only prints the bundles' name and price (<i class="fa fa-eye-slash">)
      2. Print child line with the prices - printed invoice prints bundle and child lines with prices ($)
      3. Print child lines without prices - prints bundle with prices and child lines without prices (👁)
  8. You'll also have the option to fix the quantity (Fixed Qty) of the product so that it's not adjustable from a user level, and/or multiply the quantity which is when the quantity of the product will be multiplied when the parent quantity has changed.

Bundle Limitations:

  • Product bundles can only be added through a billing trigger field in ezyVet, these are found on the appointment and clinical records.
  • Product bundles cannot be added directly to the invoice manually, or through an electronic whiteboard integration, from an estimate or sales template.
  • Bundles can have multiple 'child' bundles within them. These child bundles can be useful for reusing within different 'parent' bundles. For instance, having child bundles for Pre-Medication, Anaesthesia Induction, Post-Op Analgesia etc

  • Parent bundles cannot have child bundles that also contain 'grandchild' bundles. An error will show if you attempt to add a parent bundle containing child bundles into a new bundle.
  • The invoice screen is the only financial record that has been updated to utilize the bundle functionality. You cannot use bundles on Estimates or sales templates they will appear as a single product with no pricing.
  • You cannot have a product in a fixed price bundle that has a value of $0
