Clinicians remain in complete control, every generated note should be carefully reviewed and edited before saving to the medical record, and the accuracy and quality of the final documentation remain the sole responsibility of the provider.

We’re still finalizing the timing for when the Beta phase will wrap up, and any potential charges have not yet been confirmed. If charges are introduced, we’ll provide at least 30 days’ notice so you’ll have plenty of time to review the update and plan ahead.

Yes. You can pause the recording at any time and resume when you're ready. This is especially helpful if you need to step away momentarily or if you’re having a non-medically relevant conversation that you prefer not to include in the recording.

If you don’t complete the review process, the note will remain in an incomplete state. You can return to it later by selecting “Review notes” from the same Clinical Record. The number of incomplete notes is visible in the AI-Assisted notes.

Audio quality plays a big role in generating accurate transcripts and useful AI-generated notes. Using a good-quality microphone and speaking clearly can make a noticeable difference. We recommend testing your mic and setup before using it in a consult to help ensure the best results.

The AI is built to understand plain English and commonly used clinical language. In many cases, it can translate these into appropriate medical terminology. That said, it won’t always get it right. If you notice any words or phrases that aren’t being interpreted correctly, please let us know using the in-app feedback widget. We’re continually refining the prompt behind the scenes, and your feedback plays a key role in helping us improve the experience.

AI-Assisted notes can still work if you've simply renamed your note sections. However, if any of the core SOAP sections (Subjective, Objective, Assessment, Plan) are disabled or being used for a different purpose, the AI may not be able to sync the generated notes correctly. For the best results, we recommend using the standard SOAP layout.

The AI is currently optimized for English input. While it may pick up the occasional non-English word or phrase, consistent and accurate results can’t be guaranteed in other languages. For now, we recommend writing notes in English to ensure the best outcome.

Yes. You must confirm client's consent before recording. ezyVet will not allow you to start recording until the consent option is selected. Be sure to comply with your local laws.

ezyVet does not automatically notify the client. It's your responsibility to inform them and confirm their consent before starting recording.

The button stays greyed out until consent is selected. If you've selected your consent option and still can't record please contact support.

The Start Recording button will remain greyed out until all of the following conditions are met:

• A Case Owner must be assigned to the Clinical Record.

• The Clinical Record must be active (not locked or disabled).

AI-Assisted notes uses Generative AI (GenAI) to interpret natural conversations, which means it may occasionally mislabel, omit, or misinterpret details. That’s why it’s critical to carefully review the AI-generated content before adding it to the medical record.

Always check each section for accuracy, make any necessary edits, and ensure the note provides a complete and correct representation of the patient’s visit. You remain fully responsible for ensuring the accuracy of the medical record.

Yes, you can freely edit any section of the AI-generated note before it's approved. Take the time to review each part carefully and make any necessary changes to ensure the information is accurate and complete.

Once a section is approved in the AI-Assisted notes pop-up, it becomes locked in that view. However, if further edits are needed, you can still make changes directly within the patient’s Clinical Record.

Yes, multiple team members can use AI-Assisted notes on the same clinical record. However, if two users are recording or editing simultaneously, their screens won’t update in real time. Changes made by one user won’t appear for the other until the clinical record is refreshed.

Recordings are stored directly within the patient’s Clinical Record. You can access them anytime by clicking the AI-Assisted notes button again.

Yes, you can delete recordings, but please note that deletion is permanent and cannot be undone. A confirmation prompt will appear before the recording is removed.

AI-Charge Capture identifies billable services, products, and treatments discussed during the consult using the AI-Assisted notes transcript and surfaces them as pending charges for review before invoicing.

AI-Master Problems uses AI to identify and suggest relevant problem list entries based on information captured in the clinical record. It helps structure clinical data by surfacing potential conditions from the consultation for review and inclusion in the patient’s problem list.
